Price Books and Auto Pricer

Price Books are your organization’s configured buy costs and sell prices. Auto Pricer uses those rows first, then falls back to historical order data when you price buy or sell orders.

Open your Price Books

  1. Go to Business Settings.
  2. Open Buy Price Book or Sell Price Book.

Each book is a searchable table of device configurations and prices.

Add or edit prices manually

  1. Click Add Price.
  2. Fill in device attributes (type, brand, model, storage, color, carrier, condition) and the price.
  3. Save the row.

Manual Price Book rows take priority over historical suggestions.

Populate from history

  1. On a Price Book page, click Populate from History.
  2. Optionally filter by device type and choose a pricing strategy (defaults to your org buy/sell setting). Changing device type, strategy, or Update existing rows refreshes the preview automatically.
  3. Review the preview table (suggested price, sample count, create/update/skip action). You can edit the suggested price on create/update rows before applying.
  4. Leave Update existing rows unchecked to only add missing configurations (recommended default).
  5. Select rows and click Apply Selected Rows.

Import and export CSV

Export

  1. Filter the table if needed.
  2. Click Export CSV.

Import

  1. Click Import CSV and upload a spreadsheet with columns: price_type, device_type, brand, model, storage, color, carrier_lock, condition, price.
  2. Review the preview (creates, updates, skips, errors).
  3. Commit selected rows.

Use Auto Pricer on orders

Buy orders

  1. Add grouped items on a buy order.
  2. Click Auto Pricer in the items section.
  3. Review suggested costs in the preview modal. Edit any suggested price before applying.
  4. Select rows and click Apply Selected.

Sell orders

  1. Add inventory and group items on a sell order.
  2. Click Auto Pricer.
  3. Review suggested sale prices, edit any row if needed, and apply selected rows.

Auto Pricer only suggests prices for groups that do not already have a price entered.

Buy order profit estimates

On buy order forms (staff only), grouped items show a live Est. Sell and Est. Profit next to unit cost:

  1. Est. Sell comes from your Sell Price Book, then historical sell prices if no row matches.
  2. Est. Profit = Est. Sell − buy cost (per unit; respects custom costs on individual units in a group).
  3. Order totals also show Est. Profit and Est. Margin.

Estimates update as you change costs. They are not saved on the buy order and never appear on invoices or customer receipts. Keep your Sell Price Book current for accurate estimates.

Pricing strategies

In Business Profile → Auto Pricer Settings, choose how historical data is aggregated when no Price Book row matches:

  • Mean
  • Median (default)
  • Mode
  • 75th percentile
  • Latest weighted
