Converting a quote to buy order

How to convert an accepted quote into a buy order in Restock.

Steps

  1. Open the quote request in Restock. You can convert when the quote status is submitted, negotiating, or accepted — as long as there is at least one line that is agreed (either no counter-offer was sent, or the customer accepted your offer for that line).
  2. Optionally run Validate identifiers first to check IMEIs against the blacklist. Resolve any issues before converting.
  3. Click Convert to buy order on the quote detail page.
  4. Restock checks that no IMEI in the quote is already in your inventory (phones, tablets, smartwatches). If any duplicate is found, you'll see an error and the conversion will not complete until those conflicts are resolved (e.g. by removing or correcting the duplicate IMEI on the quote or in inventory).
  5. If the check passes, Restock creates a buy order with status complete, dated today, and with a note that it was converted from the quote request. A customer record is created or matched by the customer's email (case-insensitive).
  6. Each agreed device line becomes one or more entries on the buy order (one per quantity). The cost for each entry is set from the agreed price: your counter-offer price if you sent one and the customer accepted, otherwise the customer's original asking price. Device details (type, brand, model, storage, color, condition, IMEI/serial) are copied from the quote. A single payment is attached for the order total.
  7. The quote status changes to converted and is linked to the new buy order. You are redirected to the buy order page. The customer can download a PDF receipt from their quote link (invoice).
